You should plan and allow for an appropriate timeframe accommodating a meeting, considering any potential consequent actions, in their schedules. Any such requests should be adequately ahead of time to allow making the necessary arrangements. Deadlines are all available in advance on the class myplace site and documented in the class regulations.
